FormBridge for Zoho Pro

A WordPress to Zoho FSM integration sends each form submission to Zoho FSM automatically, creating contacts, companies, service requests, estimates or work orders without manual entry or code.

This guide shows how to set up the Zoho FSM destination in FormBridge for Zoho: choose your account and the app, pick a module, handle duplicates, map your form fields, add optional conditional logic, then test and save the feed.

Before you start

  • FormBridge for Zoho Pro is installed and your licence is active.
  • Your WordPress form is published and its trigger is set up in FormBridge for Zoho.
  • Your Zoho account is authorised for Zoho FSM under FormBridge for Zoho → Connections. If it isn’t, follow the guide to creating a Zoho connection.
  • You know which module should receive the data, and your form collects that module’s required fields.

How to set up a WordPress to Zoho FSM integration

Once your form trigger and feed details are ready, follow these eight steps.

  1. Step 1: Select your account

    Destination › Account

    On the Destination step, open the Account dropdown and choose the Zoho account you authorised under FormBridge for Zoho → Connections. Records are created in this account.

    Use Connect account at the top of the panel, or create the connection first and return to the feed. Learn how to create a Zoho connection.

  2. Step 2: Select Zoho FSM as the Zoho app

    Destination › Zoho app

    Open the Zoho app dropdown and select Zoho FSM. The dropdown lists every app your account is authorised for.

    Zoho FSM not in the list?

    The connection must include Zoho FSM. Open FormBridge for Zoho → Connections, choose Edit access for the account, tick Zoho FSM and reauthorise. Zoho grants only the permissions asked for when a connection is made.

  3. Step 3: Select the module

    Destination › Module

    From the Module dropdown, choose what the feed should do in Zoho FSM. Each option says both the record type and the action:

    • Contacts: find, then update or create
    • Companies: find, then update or create
    • Requests: create a service request
    • Requests: update a service request
    • Estimates: create with services and parts
    • Work orders: create with services and parts

    For a contact or enquiry form, choose Contacts. For a booking or service form, choose Requests: create a service request.

  4. Step 4: Configure duplicate handling

    Destination › Duplicate handling

    Under Duplicate handling, tick Update the matching Zoho record instead of creating a duplicate if an existing record should be updated rather than a second one created. Then click Continue.

  5. Step 5: Map your form fields

    Mapping › Field mapping

    On the Mapping step, give each Zoho field a form field. Both lists load on their own: the Zoho fields come from the module you chose, and the form fields from your form.

    Rows marked Required are locked, because Zoho FSM won’t create the record without them. For Contacts, those are Last name and Email; you only choose where each value comes from. Click + Add mapping row to send more fields, such as a phone number into Mobile.

  6. Step 6: Send a fixed value

    Mapping › Static value

    To send the same value on every submission, add a mapping row and set Source to Static value. The form field column greys out, and you type the value in the Static value box instead — a support number in Phone, for example.

  7. Step 7: Set conditional logic (optional)

    Mapping › Conditional logic

    Conditional logic lets a feed send only the submissions you want. Turn on Only send when the conditions below match, then build your rules: conditions inside a group must all match, and a record passes if it matches any one group.

    While the switch is off the feed sends every record it receives, and any rules you have written are kept but not applied. You can leave this section alone if every submission should reach Zoho FSM.

  8. Step 8: Test and save the feed

    Mapping › Test this feed

    Before going live, click Send test record. FormBridge sends one real record to Zoho FSM using the feed as last saved: static values go as they are, and mapped form fields are filled with realistic sample data, such as a valid email address and phone number. Open the module in Zoho FSM to check that the record arrived with the values you expect.

    When the test looks right, click Save feed. The feed starts listening to the selected form straight away, so submit the real form once to confirm the whole flow.

    Delivery logs

    Every delivery, successful or failed, is recorded under FormBridge for Zoho → Logs. Failed deliveries can be sent again with Resubmit.

Good to know
  • One feed listens to exactly one form. If two forms should send data to Zoho FSM, create two feeds.
  • Changing the account, app or module after mapping clears the mapping rows, so set those first.
  • To see exact Zoho FSM field names, go to FormBridge for Zoho → Connections and click Modules & Fields for the account.

Verify the integration

  1. Submit the real form using an email address you can recognise.
  2. Check the log under FormBridge for Zoho → Logs and confirm the delivery succeeded.
  3. Find the record in the Zoho FSM module you selected.
  4. Check the values, including any static values.
  5. Test duplicate handling, if it’s on, by submitting the same email again. The existing record should update.

Troubleshooting

Pick the symptom you’re seeing to get the fix.

No record is created

Likely cause
A required field is unmapped, or its form field is empty.
How to fix it
Check the locked Required rows on the mapping step. For Contacts, both Last name and Email need a value. Then open the Logs screen for the error Zoho FSM returned.

Zoho FSM missing from the dropdown

Likely cause
The connection was authorised before FSM was added.
How to fix it
Open Connections → Edit access for the account, tick Zoho FSM and reauthorise.

Nothing reaches Zoho

Likely cause
Conditional logic is on and no record matches the rules.
How to fix it
Open the conditional logic panel and check the rules, or switch off Only send when the conditions below match to send every record.

Duplicate records

Likely cause
Duplicate handling is turned off in the feed.
How to fix it
Tick the duplicate handling checkbox on the Destination step so a matching record is updated instead.

Mapping rows cleared

Likely cause
The account, app or module changed after mapping.
How to fix it
Set the account, app and module first, then map the fields.

Field name not found

Likely cause
The field doesn’t exist in the module you chose.
How to fix it
Check the module under FormBridge for Zoho → Connections → Modules & Fields, or use the reload button beside the Zoho field list.
