WordPress to Zoho Books Integration

Estimated reading: 7 minutes 206 views

A WordPress to Zoho Books integration sends form submissions straight into Zoho Books as customers, contacts or other supported records, with no manual entry and no code.

This guide shows how to set up the Zoho Books action in FormBridge for Zoho: choose your connected account and Zoho Books, select the organization, pick a module, configure duplicate handling, map your form fields, then create and test the feed.

Supported form plugins and Zoho apps

FormBridge for Zoho connects these WordPress form plugins with these Zoho apps. This guide covers the Zoho Books action.

WordPress form plugins

  • Elementor Forms
  • Contact Form 7
  • WPForms
  • Gravity Forms
  • Fluent Forms
  • Ninja Forms
  • Forminator Forms
  • Formidable Forms
  • Happyforms

Zoho apps

Before you start

  • Your WordPress form is published and its trigger is set up in FormBridge for Zoho.
  • Your Zoho account is authorised under FormBridge for Zoho → Connections. If it isn’t, follow the guide to creating a Zoho connection.
  • You know which Zoho Books organization and module should receive the data, and your form collects that module’s required fields.

How to set up a WordPress to Zoho Books integration

Once your form trigger is ready, open the Destination tab and follow these seven steps.

  1. Step 1: Select your connected Zoho account

    Destination tab › Connected account

On the Destination tab, open the Connected account dropdown and select the Zoho account you already authorised under FormBridge for Zoho → Connections.

    No account in the list?

Create a Zoho connection first, then return to the feed setup. Learn how to create a Zoho connection.

  2. Step 2: Select Zoho Books as the destination

    Destination tab › Zoho App

Next, open the Zoho App dropdown and select Zoho Books. This tells FormBridge to send the submitted form data to Zoho Books.

  3. Step 3: Select the organization

    Destination tab › Organization

From the Organization dropdown, choose the Zoho Books organization that should receive the data. The list loads from your connected Zoho account, so choose the account first.

If your Zoho account has more than one Zoho Books organization, check that you pick the right one. Records are created only in the organization you select.

  4. Step 4: Select the Zoho Books module

Destination tab › Module / resource

Choose the Zoho Books module that will receive your form data, such as Customers, Vendors or another available module. This example uses Customers to create Zoho Books customers from form submissions.

  5. Step 5: Configure duplicate handling

    Destination tab › Duplicate handling

Duplicate handling checks whether a matching record already exists in Zoho Books before a new one is created. When a match is found, FormBridge updates that record instead of creating a duplicate.

Choose the field used to find a match, such as email or name, then click Continue.

  6. Step 6: Map your form fields

    Mapping tab › Field mapping

Field mapping connects each WordPress form field to the Zoho Books field that stores its value. For example, map your form’s Email field to the Zoho Books Email field.

    Required field

For the Customers module, map a value to Customer Name. If it’s empty, Zoho Books won’t create the customer. Other modules have their own required fields.

  7. Step 7: Create the feed and test it

    Mapping tab › Create feed

Click Add Mapping Row to map more fields. You can also assign a static value to any Zoho Books field, which is useful for fixed information such as Customer Type or Payment Terms.

After mapping the required fields, click Create feed. The feed starts listening to the selected form, so submit the form with test data to confirm it works.

    Delivery logs

Every delivery, successful or failed, is recorded under FormBridge for Zoho → Logs. Failed deliveries can be sent again with Resubmit.

Good to know
  • One feed listens to exactly one form. If two forms should send data to Zoho Books, create two feeds.
  • Changing the Zoho app, account or module after mapping clears the mapping rows, so set those first.
  • To see exact Zoho Books field API names, go to FormBridge for Zoho → Connections and click Modules & Fields for the account.

Verify the integration

  1. Submit a test entry using an email address you can recognise.
  2. Check the log under FormBridge for Zoho → Logs and confirm the delivery succeeded.
  3. Find the record in the Zoho Books organization and module you selected by searching for the test email.
  4. Check the values, including static values such as Customer Type or Payment Terms.
  5. Test duplicate handling, if it’s on, by submitting the same email again. The existing record should update.

Troubleshooting

Pick the symptom you’re seeing to get the fix.

No record is created

Likely cause
A required field is unmapped.
How to fix it
Check the selected module, then map every field Zoho Books marks as required. For Customers, that includes Customer Name.

Record in the wrong organization

Likely cause
A different Zoho Books organization was selected in the feed.
How to fix it
Edit the feed and choose the correct organization in Step 3. Changing it may clear the mapping rows, so check them afterwards.

Mapping rows cleared

Likely cause
The app, account or module changed after mapping.
How to fix it
Set the account, app and module first, then map the fields. Changing any of the three resets the rows.

Duplicate records

Likely cause
Duplicate handling is turned off in the feed.
How to fix it
Turn on duplicate handling in Step 5 and pick the field used to match an existing record, usually email.

Field name not found

Likely cause
The API name doesn’t exist in the selected module.
How to fix it
Check the correct name under FormBridge for Zoho → Connections → Modules & Fields.

Wrong form firing

Likely cause
The feed’s trigger points at a different form.
How to fix it
Check which form the trigger points at. Give every form that needs to reach Zoho Books its own feed.

Frequently asked questions

Why do I need to choose an organization?

A Zoho account can have more than one Zoho Books organization. FormBridge creates records only in the organization you select in Step 3, so pick the one your team uses for these customers.

Can I send data to a module other than Customers?

Yes. FormBridge can send data to other available Zoho Books modules, such as Vendors. Select the module under Module / resource, then map that module’s required fields before creating the feed.

Can one form send data to multiple Zoho apps?

Yes. Create a separate feed for each destination. For example, one feed can send form data to Zoho Books while another sends the same form data to Zoho CRM.

Does this update existing records or always create new ones?

It depends on your duplicate handling settings. When duplicate handling is off, each submission creates a new record. When it is on, FormBridge checks a selected field such as email and updates the matching Zoho Books record.

Where do I find Zoho Books field API names?

Go to FormBridge for Zoho → Connections, open the connected Zoho account and select Modules & Fields. Use this when a field is missing during field mapping or you need to confirm its API name.
