FormBridge for Zoho Pro

A WordPress to Zoho Creator integration sends each form submission straight into a Zoho Creator form, so your custom app fills itself without manual entry or code.

This guide shows how to set up the Zoho Creator destination in FormBridge for Zoho: choose your account and the app, pick the Creator application and form, handle duplicates, map your fields, add optional conditional logic, then create the feed.

Pro feature

The Zoho Creator destination is part of FormBridge for Zoho Pro. See how to install Pro and activate your licence.

Before you start

  • FormBridge for Zoho Pro is installed and your licence is active.
  • Your WordPress form is published and its trigger is set up in FormBridge for Zoho.
  • Your Zoho account is authorised for Zoho Creator under FormBridge for Zoho → Connections. If it isn’t, follow the guide to creating a Zoho connection.
  • The Creator application and the form that should receive the data already exist, and your WordPress form collects the values its mandatory fields need.

How to set up a WordPress to Zoho Creator integration

Once your form trigger and feed details are ready, follow these eight steps.

  1. Step 1: Select your account

    Destination › Account

On the Destination step, open the Account dropdown and choose the Zoho account you authorised under FormBridge for Zoho → Connections. Records are created in this account.

    No account in the list?

Use Connect account at the top of the panel, or create the connection first and return to the feed. Learn how to create a Zoho connection.

  2. Step 2: Select Zoho Creator as the Zoho app

    Destination › Zoho app

Open the Zoho app dropdown and select Zoho Creator. The dropdown lists every app your account is authorised for.

Zoho Creator not in the list?

The connection must include Zoho Creator. Open FormBridge for Zoho → Connections, choose Edit access for the account, tick Zoho Creator and reauthorise. Zoho grants only the permissions asked for when a connection is made.

  3. Step 3: Select the Creator application

    Destination › Organization

From the Organization dropdown, choose the Zoho Creator application that should receive the data. The list shows each application with its workspace in brackets, such as Test Limon (techwavesolutions), and it loads from your own Creator account.

Pick the right one before going further, because the next dropdown lists only the forms inside the application you choose here.

  4. Step 4: Select the form and what it should do

    Destination › Module

From the Module dropdown, choose the Creator form that should receive the submission. Each form appears twice, once for each action:

    • Form “…”: add a record — always creates a new record.
    • Form “…”: find, then update or create — looks for a matching record first and updates it, and creates one only when nothing matches.

So a form named Patient Info gives you Form “Patient Info”: add a record and Form “Patient Info”: find, then update or create. Use the reload button beside the dropdown if a form you just built in Creator isn’t listed yet.

  5. Step 5: Configure duplicate handling

    Destination › Duplicate handling

Under Duplicate handling, tick Update the matching Zoho record instead of creating a duplicate if an existing record should be updated rather than a second one created. Then click Continue.

  6. Step 6: Map your form fields

    Mapping › Field mapping

On the Mapping step, give each Creator field a form field. Both lists load on their own: the Creator fields come from the form you chose, and the WordPress fields from your own form.

Match them by what they hold, not by name: your form’s Name field can go to Creator’s Patient Name, and a Number field to Phone. Click Remove to drop a row you don’t need.

  7. Step 7: Send fixed values and add more rows

    Mapping › Static value

Click + Add mapping row to send more fields. To send the same value on every submission, set Source to Static value: the form field column greys out and you type the value in the Static value box instead — a fixed address or city, for example.

  8. Step 8: Set conditions and create the feed

Mapping › Conditional logic and Create feed

Conditional logic lets a feed send only the submissions you want. Turn on Only send when the conditions below match, then build your rules: conditions inside a group must all match, and a record passes if it matches any one group. While the switch is off the feed sends every record it receives, and any rules you have written are kept but not applied.

Read the full conditional logic guide →

When the mapping is ready, click Create feed. The feed starts listening to the selected form straight away, so submit the real form once to confirm the whole flow.

    Delivery logs

Every delivery, successful or failed, is recorded under FormBridge for Zoho → Logs. Failed deliveries can be sent again with Resubmit.

Good to know
  • One feed listens to exactly one form. If two forms should send data to Zoho Creator, create two feeds.
  • Changing the account, app, application or form after mapping clears the mapping rows, so set those first.
  • The Module dropdown only lists forms from the application selected above it, so check the application whenever a form seems to be missing.

Verify the integration

  1. Submit the real form using values you can recognise.
  2. Check the log under FormBridge for Zoho → Logs and confirm the delivery succeeded.
  3. Find the record in the Creator application and form you selected.
  4. Check the values, including any static values.
  5. Submit the same details again. With find, then update or create and duplicate handling on, the existing record should update rather than appear twice.

Troubleshooting

Pick the symptom you’re seeing to get the fix.

No record is created

Likely cause
A field the Creator form marks as mandatory has no value.
How to fix it
Map every mandatory field of the Creator form, then open the Logs screen for the error Zoho Creator returned.

Zoho Creator missing from the dropdown

Likely cause
The connection was authorised before Creator was added.
How to fix it
Open Connections → Edit access for the account, tick Zoho Creator and reauthorise.

A form is missing from the module list

Likely cause
The list was loaded before the form existed, or a different application is selected.
How to fix it
Check the application in Step 3, then use the reload button beside the Module dropdown.

Records in the wrong application

Likely cause
A different Creator application was selected in the feed.
How to fix it
Edit the feed and choose the correct application in Step 3, then check the mapping rows.

Duplicate records

Likely cause
The module is set to add a record, or duplicate handling is off.
How to fix it
Choose the find, then update or create version of the form in Step 4, and tick the duplicate handling checkbox in Step 5.

Nothing reaches Zoho

Likely cause
Conditional logic is on and no record matches the rules.
How to fix it
Open the conditional logic panel and check the rules, or switch off Only send when the conditions below match to send every record.

Still stuck? Email the failed entry from the Logs screen to support@techwavesolutions.net.

Frequently asked questions

What is the difference between add a record and find, then update or create?

Add a record always creates a new record. Find, then update or create looks for a matching record first and updates it, and creates one only when nothing matches.

Which Zoho Creator forms can a feed send to?

Any form in the application you choose. The Module dropdown lists the forms from your own Creator account, so what you see depends on the applications you have built.

Why does the Organization dropdown show application names?

On a Zoho Creator feed, that dropdown picks the Creator application, shown with its workspace in brackets. The Module dropdown then lists only the forms inside that application.

Can two forms send data to Zoho Creator?

Yes. Each feed listens to exactly one form, so create a separate feed for each form.

A form I just built isn’t in the list. What do I do?

Use the reload button beside the Module dropdown. Also check that the right application is selected, because the list only shows forms from that one.
