Extra things Zoho does with the record once it is saved: run or skip your automations, pick an owner, add tags, attach files, create a follow-up task, and more. The Actions card sits on the Destination step under the module picker. It appears for Zoho CRM, Bigin and Desk, and each app has its own set of actions.

Everything is off until you switch it on. A feed with no actions sends exactly the same record it sent before. The number next to the card’s title shows how many actions are on.

Turn an action on

  1. Choose the app and moduleOn the Destination step, pick the Zoho account and the module, for example CRM → Leads. The Actions card appears below them.
  2. Switch the action onIts settings open under the switch. Lists such as rules, users or pipelines are loaded live from your Zoho account. If one looks out of date, press its reload button.
  3. Fill in the settingsWhere a box accepts text, {field} puts in what was submitted, for example Website, {your-city}.
  4. Save the feedThe actions run from the next record on. A record you resend from the Logs screen uses the feed’s current actions.

Automations

Decides which of your Zoho automations run when FormBridge adds a record. Available for CRM and Bigin.

Pathfinder and CommandCenter run on new records only. Your choice also applies to tags added after the record is saved and to related records, so adding a tag never sets off a workflow you switched off.

Zoho CRM actions

Use this to create a follow-up together with each lead, such as “Call back in 3 days”. For each related record:

  1. Press Add a related record and choose the Module, for example Tasks.
  2. Choose Linked to this record by: the field that ties the new record to the one just saved. If a module has no such field, it can’t be used.
  3. Add field rows with + Add field. In each value you can type text, and use + Field to insert a form answer or a date.

A logged Call needs a start time that has already passed, so use {@now} rather than a future date. Each feed can have up to 5 related records, each with up to 40 field rows.

Google Ads click id (GCLID)

  1. Add a hidden field to your form that is filled from the gclid in the page address.
  2. Under Read it from, leave Find it automatically on, or pick the field. Automatic looks for a field named gclid, zc_gad, _gclid or utm_gclid.

The GCLID is only sent when it has a value. A visit that didn’t come from an ad leaves any GCLID Zoho already has untouched.

Bigin actions

What you see in the log

Owner, assignment rule, automations, GCLID, pipeline and Desk owner/product go to Zoho together with the record. Tags (in some cases), files, notes, photos and related records need the record to exist first, so they run right after it is saved.

  • A failed extra never undoes the record. The record is in Zoho; the problem is shown as a warning next to it.
  • Extras are not retried. Fix the cause, then resend the record from the Logs screen if needed.
  • Tag names are not written to the log, because they can contain submitted values.

A list won’t load? Some lists (assignment rules, users, related lists, Bigin pipelines) need permissions an older connection doesn’t have. Open Connections, use Edit access on the account, press Update & Reauthorize, then reload the list.

Troubleshooting
